After more than 25 years in IT, I’ve learned that most computer problems don’t start with broken hardware or viruses—they start with everyday neglect. Just as a messy office slows work, cluttered and outdated systems slow productivity. Practicing a little “digital housekeeping” keeps small-business computers reliable and secure.

1. Organize Files Regularly
Create clear folders by project, client, or department. Delete duplicates and archive old data monthly. This prevents confusion and helps employees find what they need quickly.

2. Use a Password Manager
Too many business owners still rely on sticky notes or reused passwords. A trusted password manager stores credentials safely and generates strong, unique passwords. It’s a small habit that stops big security risks.

3. Perform Disk Cleanup
Temporary files, caches, and downloads eat space and slow performance. Windows’ built-in Disk Cleanup or Storage Sense removes unnecessary clutter with a few clicks.

4. Keep Software Updated
Postponing updates is a silent invitation to trouble. Updates patch security holes and improves stability. Schedule them after hours so they don’t interrupt operations.

5. Back Up Data Automatically
Hardware fails, and ransomware can strike at any time. Automate backups to a cloud service or external drive. Test them occasionally to make sure recovery actually works.

Digital housekeeping doesn’t require deep technical skill—just consistency. A few minutes of routine maintenance can prevent hours of downtime later. In technology, as in business, prevention is always cheaper than repair.
