They say:

“Let’s set up AI follow-ups!”
But if your process is scattered across Google Docs, text threads, voice notes, and a half-built ClickUp board, then automating that?
That’s just speeding up your own chaos.
Here’s the truth:
AI is like electricity—it powers whatever system it’s connected to.
If the system is messy, the result is faster mess. If it’s clean? You unlock real scale.
Before You Automate Anything, Ask:
- Do I have a repeatable, step-by-step process written down?
- Does my team know where to find the steps?
- Is every step clearly owned by someone (or something)?
Let’s take client onboarding, for example:
- Do you have a templated kickoff email?
- A standard form?
- A centralized checklist or dashboard?
If not, don’t automate it yet. Document it first. Test it manually. Then layer AI on top.
