What Each One Actually Does

A Vancouver restaurant owner has two systems running.

One sends a follow-up email to new customers 24 hours after their first visit. The other helps write the message before it goes out.

Both are useful.

They are not doing the same job.

The automated part follows a rule. A customer is added, a timer starts, and the follow-up is sent at the right time. It does not decide what the message should say. It does not judge tone. It simply carries out the instruction reliably.

The AI part handles language. It can take a short note about the customer experience and turn it into a more polished message. It can make the wording warmer, shorter, clearer, or more personal.

In a clinic, automation can send the intake form. AI can help summarize the response for internal review.

In a contracting business, automation can collect quote details. AI can help turn those details into a first draft.

The value is not in choosing one term over the other.

The value is knowing where each one belongs.

Where Owners Get Disappointed

Many owners try automation and feel let down because the output sounds generic.

Others try AI and feel let down because the draft still has to be copied, pasted, sent, tracked, and followed up manually.

Both problems come from the same mistake.

The workflow was not designed first.

Before choosing a tool, the owner should define the process. What starts it? What needs to happen? Where is human approval required? What should happen next?

Once that is clear, the tool choice becomes easier.

This is not just about terminology. It reflects a broader shift in how Vancouver small businesses need to build practical systems.
