A Chatbot Answers Questions. An AI Agent Completes Work.
Many Vancouver business owners have already experimented with AI through chatbots or tools that help draft emails and summarise documents. As AI continues to evolve, a new term is appearing more frequently: AI agents.
Although the names sound similar, they serve very different purposes.
A chatbot is designed to respond when someone asks a question. Once it provides an answer, its task is complete. An AI agent is built to continue working after receiving an instruction.
AI Agents Connect Multiple Business Systems
An AI agent can carry out a sequence of actions without requiring someone to complete each step manually.
For example, a clinic could instruct an AI agent to review appointment availability, identify patients on a cancellation list, send appointment offers, update booking records, and provide a summary of completed actions. Rather than simply generating information, the agent performs work across connected business systems.
This ability to interact with calendars, customer databases, communication platforms, and operational software makes AI agents a significant step beyond standalone AI tools.
More Capability Requires Better Controls
Greater autonomy also creates greater responsibility.
Businesses should define exactly what an AI agent is permitted to do, who it may communicate with, and what information it can access or share. Clear approval rules, security controls, and operating boundaries help ensure the agent remains reliable and consistent.
Introducing AI without these safeguards increases operational risk instead of reducing workload.
Why It Matters
For Vancouver small businesses, the next phase of AI is moving beyond answering questions toward completing real business tasks. Understanding the difference between chatbots, workflow automations, and AI agents helps owners invest in technology that matches their operational needs rather than simply adopting the latest trend.
